Rules of conduct and good practices for photographers at events 2025

This article aims to guide the rules of conduct and good practices for photographers participating in available events.

Our goal is to provide a safe and collaborative environment for everyone who uses the platform: photographers, clients, and partner organizers. By establishing clear guidelines, we promote mutual respect, the quality of the experience for everyone involved, and increased revenue and experience for all photographers. We thank you in advance for your attention and collaboration in following the established guidelines, increasingly strengthening our platform.

We have a list of prohibited practices, which can result in loss of benefits or deletion of the user's account from the platform. It is up to the Fotop team to decide what will be applied based on the severity of the situation.
  1. Missing an event without first having vacated your place in it ( check here for the rules on punishment for absentees);
  2. Upload photos from more than one photographer on the same profile or upload the same photos on different profiles;
  3. Attending the event to take photos without having previously secured a spot;
  4. Uploading photos of the same event on the Fotop platform and on competing platforms. This behavior may result in loss of benefits and suspension;
  5. Upload more than one treatment version of the same photo (example: color and black and white photo);
  6. Identify (number) all (or many that are not in the photo) of the athletes in the same photo (photo of medals, for example), with the aim of selling this photo in all packages;
  7. Fake profiles or profiles with falsified documents (even if they belong to a family member or authorized person);
  8. Any discriminatory, aggressive or disrespectful practice towards co-workers, event participants or organizers;
  9. Failure to comply with rules or orders from the organizers on the day of the race;
  10. Photographing the arrival / pre-arrival (even outside the fence) of Marketplace Fotop and Fotop Eventos events without having been previously summoned;
  11. Positioning yourself in a way that harms or interferes with the safety of the athletes or in prohibited areas marked by the organization. As well as, putting yourself in situations that pose a risk to your own life. In most cases, the permitted places to position yourself are on the sides of the road or between the cones that divide the route. However, the determination of the organization of the race must always be followed;
  12. Infringing on the privacy and intimacy of the athlete being photographed, thus avoiding images that could be embarrassing. In this way, we also reinforce the importance of reviewing your photos before uploading them. Use common sense and avoid taking photos that could make any participant uncomfortable;
  13. Using the Fotop uniform or brand inappropriately, whether to deceive third parties or harm Fotop's image;
  14. Fotop is a platform for adult photographers. Photographers aged 16 and 17 can take photos if they are accompanied by an adult. Photographers under the age of 16 cannot create profiles or take photos on Fotop;
  15. Photos ready for upload to the platform must be dated and timed on the day of the event, and cannot be dated after the end date of the event. Your camera must be set to the correct date and time of the day. Photographers who upload photos with later dates will be subject to the penalty of having their event photos deleted;
  16. It is forbidden to register the event in the wrong category. For example, photographing athletes who are participating in an official event and adding the event as the "training" category. Important: training events are events created to photograph people who are practicing sports on public roads and are not competing in official events. If you are photographing your training location and athletes from a race are passing by, do not photograph them and do not add these photos to your training event.

Good practices:
  1. In order to benefit photographers who work exclusively through Fotop, we offer some exclusive benefits to photographers, such as being able to apply for pre-arrivals, arrivals, closed team tests and documentation. Photographers who work through Fotop and other platforms can normally access vacancies and enter events available on the Fotop dashboard;
  2. Never position yourself in a way that forces event participants to deviate from their natural route. Your positioning must not in any way disrupt the event or participants, as this is a passive act that results in loss of benefits and suspension;
  3. If you are unable to attend the event, leave as early as possible. Other photographers who can cover the event are waiting for a spot;
  4. Do not attend events where you did not get a place. Events have a limited number of places and the Fotop team will not add photographers who did not get a place to events nor will they accept requests for exchanges;
  5. Wear the Fotop uniform (t-shirt, vest and/or jackets) in all Fotop Marketplace and Fotop Events races and respect the organizers' guidelines on the day of the races;
  6. Accessories such as caps, bandanas and other accessories are not easily identifiable by athletes, so they do not have the necessary effect for publicity.
  7. Respect your coworkers. Do not interfere with your colleagues' photos and, upon arrival, follow the rules set by the organizers, who often need photos from photographers hired by sponsors;
  8. Do not obstruct the route or the athletes and do not risk your safety, follow the organization's guidelines and the rules described in the events.
  9. Pay attention to the positioning of athletes when taking photos, especially during training sessions. If an athlete shows any discomfort while being photographed, or if they request that their photos be deleted, do not take the photo and immediately delete any photo you have taken of that person. Be friendly and respectful to the athletes.
  10. Avoid smoking, drinking alcohol and playing loud music. We don't want to disturb the athletes.
  11. Use Fotop's official channels for support: email [email protected] and online chat on the panel, which operates from Monday to Friday, from 9 am to 6 pm, and on Saturdays and holidays, from 10 am to 6 pm and on Sundays from 9 am to 9 pm. Avoid looking for employees on their personal phones;
  12. On Sundays, use our customer service for technical issues and issues related to that weekend's events. If you have any criticisms, need to resolve conflicts, suggestions or problems with future events, please contact us during the week;
  13. Avoid sending photos directly to the client, even if proof of payment is sent. Ask the client to contact us via email at [email protected] if they have any problems receiving the photos or have any other questions;
  14. If you use printed photos (with a watermark), send an email to [email protected] with the profile that published the photo and we will get in touch;
  15. Photographers are partners and not employees of Fotop. Fotop is not responsible for the misconduct of photographers at events or for uploading photos that were not taken through the platform and may disconnect photographers from the platform if they violate our basic premises;
  16. Any use of the Fotop brand must be sent to [email protected] for verification and authorization of use.
