Rules of conduct and good practices for photographers at events 2024

This article aims to guide the rules of conduct and good practices for photographers who participate in available events.

Our goal is to provide a safe and collaborative environment for everyone who uses the platform: photographers, clients and partner organizers. By establishing clear guidelines, we promote mutual respect, the quality of experience for everyone involved and increased gains in revenue and experience for all photographers. We thank you in advance for your attention and collaboration in following the established guidelines, increasingly strengthening our platform.

Prohibited and punishable practices:
  1. Missing an event without first abandoning your place in it (check the rules for punishment for absentees here);
  2. Upload photos from more than one photographer on the same profile;
  3. Attend the event to photograph without having previously secured a spot;
  4. Hold the same event on other platforms;
  5. Upload more than one processing version of the same photo (example: color and black and white photo);
  6. Identify (number) all (or many that are not in the photo) the athletes' numbers in the same photo (photo of medals, for example), with the aim of selling this photo in all packages;
  7. Fake profiles or with falsified documents (even if they belong to a family member or authorized person);
  8. Any discriminatory, aggressive or disrespectful practice towards co-workers, event participants or organizers;
  9. Failure to comply with rules or orders from the organizers on the day of the race;
  10. Photograph the arrival / pre-arrival (even outside the fence) of Fotop Marketplace and Fotop Eventos events without having been previously called;
  11. Position yourself in a way that harms or interferes with the safety of athletes or in prohibited places marked by the organization. As much as, do not put yourself in situations that pose a risk to your own life;
  12. Infringe on the privacy and intimacy of the athlete being photographed, thus avoiding images that could be embarrassing. In this way, we also reinforce the importance of reviewing your photos before uploading, as in most cases, the images are available for everyone to view. Use common sense and avoid taking photos that could make any participant uncomfortable;
  13. Using Fotop's uniform or brand inappropriately, either to deceive third parties or harm Fotop's image;
  14. Fotop is a platform for adult photographers. Photographers aged 16 and 17 can take photos if they are accompanied by an adult. Photographers under the age of 16 cannot create profiles and take photos through Fotop.
  15. Photos ready to be uploaded to the platform must be dated on the day of the event and cannot be dated later than the end date of the event. Photographers who upload photos with later dates will be subject to the punishment of having photos from the event deleted;
  16. It is prohibited to register the event in the wrong category. For example, photographing athletes who are participating in an official race and adding the event as a "training" category. Important: training sessions are events created to photograph people who are playing sports on public roads and are not competing in official competitions. If you are photographing your training location and athletes from a race are passing by, do not photograph them and do not add these photos to your training event.

Good habits:
  1. If you cannot attend the event, leave it as far in advance as possible. Other photographers who can cover the event are waiting for a spot;
  2. Don't attend events where you can't get a spot. The events have a limited number of places and the Fotop team will not add photographers who did not get a place at the events nor will they respond to requests for changes;
  3. Use the Fotop uniform (t-shirt, vest and/or jackets) in all Fotop Marketplace and Fotop Eventos competitions and respect the organizers' guidelines on the day of the competition;
  4. Accessories such as caps, bandanas and other accessories are not easily identifiable by athletes, so they do not have the necessary promotional effect.
  5. R espect co-workers. Do not interfere with taking photos of your colleagues and upon arrival follow the rules of the organizers who often need photos from photographers hired for sponsors;
  6. Do not disturb the course or the athletes and do not risk your safety, follow the organization's guidelines and the rules described in the events.
  7. Be nice and respect athletes;
  8. Use Fotop's official channels for support: email partners@fotop.com and the online chat on the panel, which operates from Monday to Friday, from 9 am to 6 pm and, on weekends, from 10 am to 6 pm. Avoid searching for employees on their personal phones;
  9. On Sundays, use our customer service for technical problems and issues related to that weekend's events. If you have criticisms, needs to resolve conflicts, suggestions or problems with future events, please deal with them during the week;
  10. Avoid sending photos directly to the customer, even if proof of payment is sent. Ask them to contact us via email at sac@fotop.com if you have problems receiving them or have other questions;
  11. If you use printed photos (with a watermark), contact the person in a friendly manner, to inform them that the photos are for sale and are remuneration for your work. Send an email to parceiros@fotop.com.br with the profile that published the photo and we will contact you;
  12. Photographers are partners and not employees of Fotop. Fotop is not responsible for the misconduct of photographers at events or for sending photos that were not taken by the platform and may disconnect photographers from the platform if they violate our basic premises;
  13. Any use of the Fotop brand must be sent to marketing@fotop.com.br for verification and authorization of use.

Best practices and guidelines for event creators:
  1. When offering and establishing a partnership, make sure you have the capacity to cover the event. Under no circumstances offer a partnership and leave the organizer “in the lurch”. If Fotop considers that your partnership was not carried out well, we may prevent you from entering into partnerships again;
  2. If you are the photographer responsible for the event, but are not in person on the day, ensure that someone from your team is available to speak and assist the event organizer;
  3. When approaching an organizer to form a partnership, introduce yourself as a Fotop partner photographer, and not as a Fotop employee;
  4. Try to close your partnerships in advance, as they still undergo internal validation by the Fotop team to be approved and released;
  5. Try not to send too many communications to the event mailing list and the organizer, as this could be categorized as spam. Our suggestion: send it as soon as the event appears on the website and send it again 3 days later;
  6. Always inform the organizer that if the participant mailing list is sent to you or to Fotop, we will only use the mailing list to publicize the sale of photos, no emails will be sent for other purposes;
  7. The partnership for the organizer can have several forms of return, in addition to the photo experience that we are taking to the event.
